Sales Pipeline Stages for UK Trade Businesses

Picture your phone at 7pm: four enquiries on it, one red hot, two you have half-forgotten, and no sales pipeline holding any of them in order. That is how a good job quietly goes to whoever rang back first. A sales pipeline is just the path every enquiry travels, from the first missed call to a paid invoice and a five-star review. Six stages, five moves between them, an afternoon to set up.

The six stages, start to finish

Every trade job walks the same road, on a whiteboard or in software. It sits under our wider lead management guide, but the pipeline itself is simple. Name these six stages and nothing falls through the gaps:

  1. New enquiry. The call, form or WhatsApp lands. Log it straight away.
  2. Contacted. You have spoken to them and know what the job is.
  3. Quote sent. A price is out, after a site visit or over the phone.
  4. Follow-up. The chase most owners skip, and the one that wins the work.
  5. Booked. They said yes and there is a date in the diary.
  6. Paid and reviewed. Invoice cleared, review asked for, job closed.

The five moves are the arrows between those boxes. Miss one and a warm lead slides quietly back to cold.

Where trade pipelines leak

Pipelines rarely break at the start. They leak in the middle, where the dull follow-up work lives. Three patterns show up again and again:

  • Slow first contact. A lead left waiting an hour has usually rung someone else.
  • No baseline. Without a before number you cannot prove a change worked, you talk yourself out of the next one.
  • Stopping after one win. A pipeline is a habit, not a one-off tidy-up. The real gains land across months two to six.

The numbers behind moving faster

Speed at the top of the pipeline beats any clever trick further down. The UK lead-response numbers are blunt: the firm that answers first usually takes the job, often before a rival has read the enquiry. Learn to reply inside the first 60 seconds and your odds climb again.

Do this on Monday

You do not need software to begin. Draw the six stages on a whiteboard, write every open job under the right one, and you have a working sales pipeline by lunch. Then tighten the weak points: score each lead hot, warm or cold so the good ones get chased first, and switch on appointment reminders so booked jobs stop turning into no-shows.
